Privacy Policy
1. Who we are and what this policy covers
This Privacy Policy is issued by Learnlynk Technologies Inc. ("LearnLynk", "we", "us"), a company based in Vancouver, British Columbia, Canada. It applies to:
- The website — learnlynk.ca, including the free tools and any forms or demo bookings on it; and
- The platform — the LearnLynk software-as-a-service used by colleges to run admissions, student records, scheduling, finance, and compliance.
2. Two different roles we play
Privacy law treats these two contexts differently, so we keep them separate:
a) On the website and for prospective customers — we control the data
When you visit our site, use a free tool, fill in a form, or book a demo, LearnLynk decides how your information is handled. This policy governs that use.
b) Inside the platform — the college controls the data; we process it for them
When a college uses LearnLynk, it enters and controls information about its own staff, applicants, and students. For that information the college is the organization responsible (the controller) and LearnLynk is a service provider (a processor) that handles the data only on the college's instructions and under our agreement with it. If you are a student or applicant and want to access, correct, or delete your records, please contact your college first; we will support the college's request.
3. Information we collect
From website visitors and prospects
- Details you submit — name, work email, institution name, role, and anything you type into a contact form, tool unlock form, or demo booking.
- Free-tool inputs — figures and selections you enter into our calculators and market tools (e.g. program, tuition, city). These are used to produce your result and to understand which tools are useful.
- Usage and device data — pages viewed, approximate location, browser and device type, and similar analytics, collected through cookies and similar technologies (see Section 6).
- Server logs — IP address and request metadata, used for security, rate-limiting, and troubleshooting.
Inside the platform (processed on behalf of a college)
- Account data — staff names, work emails, and roles needed to give people access.
- Institutional and student records — the applicant, student, academic, attendance, and financial information the college chooses to manage in LearnLynk. This can include personal and, where the college enters it, sensitive information. We process it only to provide the service.
4. How we use information
- To respond to you — answer enquiries, run demos, and deliver the free-tool results you request.
- To provide and improve the service — operate, secure, support, and improve the website and platform.
- To communicate — send service messages, and, where permitted, relevant marketing. You can opt out of marketing at any time (see Section 10).
- To meet legal and security obligations — prevent abuse, enforce our terms, and comply with applicable law.
Inside the platform we do not sell institutional or student data, and we do not use it to train AI models for other customers. AI features operate on a college's own data to serve that college.
5. Consent (PIPEDA) and marketing (CASL)
We aim to handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial law. We rely on your consent — express or implied by the context — to collect and use website information, and you may withdraw it subject to legal and contractual limits. Commercial electronic messages are sent in line with Canada's Anti-Spam Legislation (CASL); every marketing email includes an unsubscribe link.
6. Cookies and analytics
We use cookies and similar technologies to run the site, remember preferences (such as a tool unlock), and measure traffic. We use Google Analytics 4 to understand site usage; it may set cookies and process data outside Canada (including in the United States). You can opt out of Google Analytics with the Google Analytics opt-out add-on, or block cookies in your browser. We do not run third-party advertising trackers that sell your data.
7. Who we share information with (service providers)
We share information only with vendors that help us run the website and platform, under agreements that limit their use of it. Current categories include:

We may also disclose information if required by law, to protect our rights or users' safety, or in connection with a corporate transaction (with continued protection of your information).
8. Where your data is stored and how we protect it
The LearnLynk platform and its primary database are hosted in Canada. We use technical and organizational safeguards including encryption in transit, access controls, and least-privilege practices. Some support tools (analytics, email, scheduling above) may process limited data outside Canada. No system is perfectly secure, but we work to protect your information appropriately to its sensitivity.
9. How long we keep information
We keep website and prospect information for as long as needed for the purposes above or as required by law, then delete or de-identify it. Inside the platform, institutional and student data is retained according to the college's instructions and its own retention obligations; on the end of a college's agreement, we return or delete its data as set out in that agreement.
10. Your choices and rights
- Access and correction — you may ask what website information we hold about you and request corrections.
- Withdraw consent / unsubscribe — you can opt out of marketing any time via the unsubscribe link or by contacting us.
- Student and applicant records — please contact your college, which controls that data; we assist the college in responding.
To exercise a right relating to website information, contact us using Section 12. We will respond within the timelines required by applicable law.
11. International students, minors, and sensitive data
The website is intended for college staff and prospective-customer contacts, not for children. The platform may contain student information, including international-student details, entered by a college; that data is handled under the college's instructions and the protections in this policy.

13. Changes to this policy
We may update this policy as our service or the law changes. We will post the new version here with a revised "last updated" date; material changes will be communicated where appropriate.
